This Privacy Policy explains how Trackwell (“Trackwell,” “we,” “us”) collects, uses, and protects your information when you use our application-tracking and interview-prep service (the “Service”). By using the Service, you agree to this policy.

1. Information we collect

We collect only what the Service needs to work:

  • Account information. Your email address, used to sign you in via a magic link and to contact you about the Service. If you add your name in settings, we store that too.
  • Content you provide. Everything you enter or upload — job applications, notes, contacts, resumes (including uploaded PDFs and their extracted text), flashcards, and behavioral answers. Resumes may contain personal information such as your work history, education, and contact details.
  • Billing information. If you subscribe to a paid plan, payments are processed by Stripe. We never see or store your full card number; we retain only a Stripe customer/subscription identifier and your current plan.
  • Usage data. Basic technical and usage records (for example, AI-action counts used to enforce plan limits, and standard server logs) needed to operate and secure the Service.

2. How we use your information

  • To provide, maintain, and improve the Service.
  • To authenticate you and keep your account secure.
  • To generate the features you request — resume matching, prep plans, company briefs, and message drafts.
  • To process payments and manage your subscription.
  • To send Service-related email (sign-in links and, if you contact us, support replies). We do not sell your personal information.

3. AI processing

Several features send your content — such as a job posting, resume text, or profile details — to an AI model provider to generate results. This is done only when you trigger an AI action (for example, analyzing a resume match or generating a prep plan). We send the minimum content needed for the feature. AI output can be inaccurate; treat it as a starting point, not professional advice.

4. Third-party services

We share limited data with providers that help us run the Service, each under their own terms and privacy policies:

  • Stripe — payment processing and subscription billing.
  • Resend — delivery of sign-in and support emails.
  • Our AI model provider — generating AI features from content you submit.
  • Tavily — web search used to ground company briefs and flashcards in current sources (search queries only).
  • Our hosting and database provider — storing and serving your data.

We may also disclose information if required by law or to protect the rights, safety, and security of Trackwell and its users.

5. Data retention & deletion

We keep your data for as long as your account is active. You can delete individual records (applications, resumes, contacts, and so on) at any time from within the app. To delete your entire account and associated data, contact us at the address below. Some limited records (such as billing history) may be retained where required for legal or accounting purposes.

6. Security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS) and access controls that scope every record to its owner. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise most of these directly in the app, or contact us for help. We will respond within the timeframe required by applicable law.

8. Cookies

We use a single, first-party session cookie to keep you signed in. We do not use third-party advertising or tracking cookies.

9. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal information.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide a more prominent notice.
